Terms of Service

These Terms of Service ("Terms") govern your use of the vAutoStock Lite mobile application and web services (the "Service") operated by vAutoStock Ltd ("we", "us", or "our"). By using the Service, you agree to these Terms.

1. Service Description

vAutoStock Lite is a vehicle management platform for independent automotive dealers and small dealer groups. The Service includes a mobile application, web-based admin panel, and associated backend services for vehicle tracking, damage documentation, process workflow management, and government data lookups.

2. Account Registration

• You must register for an account to use the Service.
• You must provide accurate and complete information during registration.
• You are responsible for maintaining the security of your account credentials.
• You must be at least 18 years old to create an account.
• One person may not maintain more than one account without prior approval.

3. Free Trial

New accounts include a 14-day free trial with full access to all features. No payment information is required during the trial period. At the end of the trial, you must subscribe to continue using the Service.

4. Subscription and Billing

• The Service is offered on a monthly or annual subscription basis.
• Prices are displayed on our website and within the app at the time of purchase.
• Subscriptions auto-renew unless cancelled before the renewal date.
• Cancellations take effect at the end of the current billing period.
• We reserve the right to change pricing with 30 days advance notice.

5. Usage Limits

Your subscription includes monthly usage allowances for certain features:

• Voice damage entries: 50 per month
• VOSA/MOT lookups: 50 per month
• Team members: up to 5 per account

Usage counters reset on the first day of each calendar month. Exceeding limits may result in temporary restriction of the affected feature until the next reset.

6. Acceptable Use

You agree not to:

• Use the Service for any unlawful purpose
• Attempt to access another tenant's data
• Reverse engineer, decompile, or disassemble the Service
• Use automated tools to scrape or extract data from the Service
• Resell or redistribute the Service without written permission
• Upload malicious content or attempt to compromise the Service's security

7. Data Ownership

• You retain ownership of all data you enter into the Service (vehicle records, damage entries, photos, etc.).
• We do not claim any intellectual property rights over your data.
• You grant us a limited licence to store, process, and display your data solely to provide the Service.
• Upon cancellation, your data will be retained for 90 days before deletion. You may request a data export during this period.

8. Third-Party Services

The Service integrates with third-party APIs including:

• DVLA Vehicle Enquiry Service — for vehicle data lookups
• DVSA Vehicle Recalls API — for recall information
• Firebase (Google) — for notifications and crash reporting
• OpenAI — for voice transcription

These services are governed by their own terms and privacy policies. We are not responsible for the availability or accuracy of third-party data.

9. Service Availability

We strive to maintain 99.5% uptime but do not guarantee uninterrupted service. We may perform scheduled maintenance with reasonable advance notice. We are not liable for service disruptions caused by factors outside our control.

10. Limitation of Liability

To the maximum extent permitted by law:

• The Service is provided "as is" without warranties of any kind.
• We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service.
• Our total liability shall not exceed the amount paid by you in the 12 months preceding the claim.
• We are not responsible for decisions made based on data retrieved from government APIs (DVLA, DVSA).

11. Termination

• You may cancel your subscription at any time via the admin panel or by contacting support.
• We may suspend or terminate your account for violation of these Terms.
• Upon termination, your access to the Service will cease immediately.

12. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes via email or in-app notification at least 14 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance.

13. Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
